Glossary
AA — Affirmative Action — policies that provide equal opportunity regardless of race, color, ethnicity, religion, gender, sexual orientation, national origin, age, disability or status as a qualified protected veteran.
Action/reason — The personnel action being taken and the reason for the action being taken. Action/reasons appear on the Job Data PeopleSoft pages as a code. For example, HIR/NPW is an action/reason for Hire/Never Previously Worked.
ADA — Americans with Disabilities Act — civil rights law that prohibits, under certain circumstances, discrimination based on disability.
Additional Pay —Earnings paid to an employee in addition to regular, base pay, usually within the same home department. This information appears on the Additional Pay PeopleSoft pages. For example, shift differential, extra compensation as a one-time payment, moving expenses, etc.
APF — Additional Pay Form — used to process additional pay.
A/P — Administrative/Professional — salary plan that includes exempt staff titles that use the same compensation system for determining appropriate pay ranges
BE — Benefit Eligible — a regular employee expected to work at least 75 percent FTE with an indicated appointment duration of at least nine months entitled to benefits or rights of university employment policies.
Benefit Program — The university benefit program an employee is eligible to receive. It appears as a 3-character code on the Benefit Program Participation PeopleSoft page. For example, MPE – Monthly Paid Employee.
Benefit Status — Identifies the benefit eligibility of an employee. It appears on the Job Information PeopleSoft page as one of the following (as per HR-101):
- Regular — an Administrative, Service and Support staff member expected to work at least 75 percent FTE (full-time equivalency) with an indicated appointment duration of at least nine months and regularly scheduled to work a minimum average of 30 hours per week. Service credit under the UM retirement program requires a minimum of 1,500 hours worked per year (Benefit eligible).
- Temporary — (non-regular) an appointment that does not qualify for regular status as defined above (Non-benefit eligible).
Business Unit — Identifies the employee’s home campus/business unit. It appears as a 5-character code on the Work Location PeopleSoft page. For example, COLUM is the code for Columbia Campus.
CAPS - Core Administrative Processing Support.
CBC — Criminal Background Check — required for all final candidates for university positions. May include, but is not limited to, criminal history, verifications of employment and education, and driving records.
CDL — Commercial Drivers License — required if the employee operates a vehicle that weights more than 26,000 pounds, hauls hazardous materials, or is designed to transport 16 or more persons, including the driver.
ChexSystems — A network comprised of member financial institutions that regularly contribute information on mishandled checking and savings accounts to a central location. ChexSystems then shares this information with its member institutions to help them assess the risk of opening new accounts.
Class Spec — Classification Specification — A university job description.
Concurrent Job — If an employee has an active, paid appointment, any subsequent paid appointment is considered a concurrent job. Concurrent jobs are generally in a different department. A concurrent job appears in PeopleSoft as an additional Empl Record. (For example, 01024881-0; 01024881-1)
Courtesy Appointment — An appointment where there is no compensation provided by the university. Used as a mechanism to provide access to certain university benefits (i.e., ID card, library, computer) and to track associations with the university. This information appears on the Job Data PeopleSoft pages as an Action/Reason.
Department — Identifies the specific department or sub-department that has fiscal, programmatic and administrative responsibility for the employee. It appears as a unique alpha code on the Work Location PeopleSoft page. For example, CHUMNRESSV is the code for Human Resource Services on the Columbia campus.
EAP — Employee Assistance Program — Free counseling services available for employees and family members.
Earn codes —A code that identifies the type of pay. This information appears on the Job Earnings Distribution PeopleSoft page. For example, REX is the earnings code for regular, exempt pay.
E-bill — An electronic notification of charges for SOS Temporary Staffing.
Educational Assistance — Employee benefit for 75 percent of educational fees.
EEO — Equal Employment Opportunity — prohibits federal contractors from discriminating against employees on the basis of race, sex, creed, religion, color or national origin. see EEO codes.
EFR — Educational Fee Reduction — benefit for spouse and dependent children.
Empl Class — Used with other employee data. Appears on the Job Information tab in PeopleSoft.
EmplID — An identification number that is randomly generated by PeopleSoft and assigned to employees. It is used as a unique identifier for each employee. It appears as an 8-digit number on PeopleSoft pages. For example, 01024153.
Empl Rcd# — Identifies the employee record in PeopleSoft. An employee has an empl rcd# of 0 for the first position, and an empl rcd# of 1, 2, etc., for each successive appointment.
Extra Comp — Extra compensation (generally a one-time payment), awards, car allowance, relocation incentive, call pay, etc.
FLSA — Fair Labor Standards Act — sets federal minimum wage and defines workweek, overtime conditions and employment of minors.
FMLA — Family Medical Leave Act — federal law that gives eligible employees the right to take a leave of absence for family or medical reasons, as well as leave for military families, while maintaining job protection.
FSB — Faculty and Staff Benefits — administers benefit programs for all four campuses (University of Missouri, University of Missouri - St. Louis, University of Missouri - Kansas City, and Missouri University of Science and Technology) and University of Missouri Health Care.
Full time (FT) — An appointment that for 40 hours per week.
FTE — Full Time Equivalency — a measure of a worker's or student's level of enrollment or involvement. It appears on the Job Information PeopleSoft page as one of the following:
- Full-time — the position has an FTE of 1.00 and standard hours are 40 OR
- Part-time — the position has an FTE less than 1.00 and standard hours are less than 40
GGS — Global Grading System
HRP — Human Resource Professional
HRS — Human Resource Services — serves the University of Missouri.
JED — Job Earnings Distribution — Information on the source(s) of funding, the percentage from each source, and the effective date for each source of funding for pay. This information appears on the Job Earnings Distribution PeopleSoft page.
Job Code — A code that is assigned to a specific job title. This information appears as a 4-digit code on the Job Information PeopleSoft page. For example, 9330.
MCUPA — Missouri College and University Personnel Association
MoCode — MoCode is five alphanumeric characters, used in PeopleSoft modules as a shorthand way to represent or populate ChartFields.
NEA Pay group — A code to designate payment for items such as a scholarship or a prize to Non-Resident Aliens Not Employed.
NEO — New Employee Orientation — program designed to help new benefit-eligible employees learn more about the university and its benefits.
NER - New Employee Registration-sessions for new employees in HRS-CAPS Center departments to complete new hire paperwork before the first day of employment.
Non-benefit eligible — A non-regular employee whose appointment does not qualify for regular employee status and who is not entitled to benefits or rights of university employment policies.
OFC — Office — salary plan that includes non-exempt staff titles that share common job characteristics and pay ranges.
PAF — Personnel Action Form and Turn-Around PAF — Information regarding personnel actions (e.g., new hires, re-hires, promotions, transfers, etc.) is completed on the PAF by departments. The department sends the PAF to the proper office (Payroll, HR or Provost) to be reviewed. After review, it is entered into the PeopleSoft system by Payroll.
Part Time (PT) — An appointment that is regularly scheduled for fewer than 40 hours per week.
Pay Group — The structure of compensation and pay cycle. This information appears on the Job Information PeopleSoft page. Pay group includes:
- BIW – Biweekly
- MON – Monthly
- ELO - Biweekly Hospital Employees
Payroll Status — The payroll status of the employee. It can be found on the Work Location PeopleSoft page. Statuses include: A – Active, T – Terminated, R – Retired, L – Leave without pay, P – Leave with pay, D – Death.
PCQ — Position Classification Questionnaire — a document used to assist in development and classification of positions/jobs.
PeopleSoft — Applications used to support Finance & Administration, Human Resources and Enrollment and Student Management and Administration for the entire UM System.
PDF — Personal Data Form — form used to collect, address and other demographic information from employees.
PDN — Primary Directory Number — see Telecom Services
PED — Preventing Employment Discrimination
POET — Post Offer Employment Testing — a program focused on safety in which final candidates for certain administrative, service and support positions are required to pass a post-offer, pre-employment physical demands test designed to mimic job tasks.
PSH — Preventing Sexual Harassment
PTO — Paid time off
Regular employee — A regular employee is an Administrative, Service and Support staff member expected to work at least 75 percent FTE with an indicated appointment duration of at least nine months. All regular employees are benefit eligible. Service credit under the UM retirement program requires a minimum of 1,500 hours worked per year.
Salary Plans — Groups of job titles that have similar characteristics are assigned to one of several different codes, e.g. T&R, S/M, A/P.
S/M — Service/Maintenance — salary plan that includes union-eligible job titles that share a common pay structure and work rules
Signature authorities — Individuals with delegated fiduciary responsibility to approve, sign documents and conduct business on behalf of a department of the university.
Smart PAF — Web form that uses existing database (PeopleSoft) information. Smart PAFs are available for selected actions including staff and student hiring, retirement, terminations and leaves of absence.
SOS — SOS Temporary Staffing — MU’s internal temporary staffing department, a unit of Human Resource Services .
Non-regular temporary employee — A non-benefit-eligible employee whose employment is limited to fewer than 1,500 hours in a 12-month period. Does not qualify for regular employee status as defined. Employees may be reappointed beyond the initial appointment, but in no instance may a non-regular employee work 1,500 hours per year (Sept. 1 to Aug. 31).
T&R — Teaching and Research — salary plan that includes exempt academic titles they share various job characteristics and federal job classification codes (EEO codes)
TCH — Technical — salary plan that includes nonexempt staff titles that share common job characteristics and pay ranges
Time and Labor — PeopleSoft application for processing work time and absences.
Turnaround PAF — Used to amend or maintain personnel records.
UM System — The umbrella organization for the four campuses (University of Missouri, University of Missouri - St. Louis, University of Missouri - Kansas City, and Missouri University of Science and Technology) and University of Missouri Health Care.
